As many of you are aware, we had a very active year last year for teams, conferences and other student activities. This year looks as busy!
Once again, we will be using a formal process for student groups to receive funding from the Dean's Donation Fund and based on your advice will try and offer the money in two "lumps" so that activities that begin later in the year have an opportunity for funding. Just a reminder though, the University Budget year ends April 30th and I will have given out all the funding well before this date.
Students/Student groups and competitive teams wishing to apply for grants can do so in writing by Friday, October 7th 2011 for the first application deadline or by Thursday, January 12th, 2012 for the second application deadline (4:30 pm). Any applications received after Friday, October 7th, 2011 will automatically be put into the January group for consideration. Incomplete or late applications (after Thursday, January 12th, 2012) will not be considered.
As in previous years, we are working with a fairly limited budget and it would be helpful for teams or groups that are able to raise their own funding do so, if at all possible.
Applications should contain the following materials:
- Financial statement from previous year
- Budget (including projected revenue and expenses) for current year
- List of sponsors from past year and anticipated sponsors for current year (particularly for conferences and student team requests)
- Explanation of how the group intends to use any funds granted by the Dean (this should be brief)
- Safety plan
- Explanation of how the group's activities benefit the participants, the Faculty and the University (brief)
- Stewardship and recognition plan for all donors
- Team/Club name, contact information and signature of the Faculty Advisor where appropriate.
Applicants may submit their request in hard copy to Beth Wylie, Faculty Advancement Officer for Engineering and Applied Science, 211 Beamish Munro Hall or by email at beth.wylie@queensu.ca.
Funding for these student initiatives is provided by alumni contributions to Applied Science through a number of funds including the Dean's Excellence Fund and Class donations. As such, student groups are strongly encouraged to participate in alumni stewardship activities such as the Dean's Reception at Spring Reunion and other faculty events through the school year. As in the past, any group receiving a grant from the Dean's office will be expected to submit a stewardship report upon completion of their activity for the academic year. The alumni are very appreciative of the effort that students have taken to prepare these reports and it is an important part of what helps us to fund student activities. Reports from previous years have been outstanding!
